These terms and conditions apply to all bookings made via the BushBeds bookings system. By accessing, visiting or using our website www.bushbeds.com or making use of the BushBeds booking system you are deemed to have read, understood and accepted all of our booking conditions as listed in this document.
A “client” is all persons named on the booking form intending to travel with BushBeds. A “product” is any service sold by BushBeds.
BushBeds acts as booking agent for the travel services offered by various travel suppliers such as but not limited to accommodation establishments and car rental companies which can be booked through the BushBeds booking system. As such, bookings for the services of these suppliers will form a direct contract between you and the relevant supplier, and will be subject to that supplier’s standard terms and conditions.
In order to confirm a booking BushBeds, being the agent, must have full payment of all payments due. A contract between the client and BushBeds comes into existence once we have confirmed the booking in writing and issued a confirmation. The person signing the booking form (that incorporates these terms and conditions) warrants that he/she has full authority to do so on behalf of all persons whose name appears thereon and confirms that all such persons are fully aware of and understand these terms and conditions.
All product information has been published by BushBeds in good faith and BushBeds will use its best endeavors to ensure that product information is correct and up-to-date. Product information includes but is not limited to general information about the accommodation establishment, information about offered facilities and services, accommodation ratings, location data, pictures, vehicle information for rental cars as well as general information about countries, regions and tourism destinations.
Prices and Currencies
All travel services listed on the BushBeds booking system will display the cheapest available price per room or rental day, irrespective of season or length of stay. This price information is for reference only. The correct applicable price for the clients booking request is calculated once the amount of nights / rental days have been entered correctly into the system. It is the client’s responsibility to select the correct room category / vehicle type and seasons for the preferred travel service. BushBeds booking staff will check if correct data has been entered. The final due price will be communicated to the clients before final booking confirmation and will be displayed on the final booking confirmation sent out to the client by BushBeds.
If the currency selected by the client is different to the currency used/required by the accommodation establishment or car rental company, the prices shown on the BushBeds booking system in the client’s currency are for information purposes only. A binding offer in the client’s selected currency will only be sent out together with the provisional booking confirmation by BushBeds staff.
Booking and payment
All products and services offered on the BushBeds booking system are on-request basis only. No allotments are being held by BushBeds for any products or services offered. Although every effort will be made to confirm your request, please note that travel arrangements are not confirmed until you receive a written confirmation and BushBeds reserves the right to make changes if required.
Before a booking is confirmed BushBeds reserves the right to amend prices of products due to any circumstances outside the control of BushBeds such as but not limited to changes relating to governmental action, increases in transportation costs (including schedule airfares and the cost of fuel), changes in any dues, taxes or fees chargeable for services (including landing taxes or embarkation/disembarkation fees at airport), increases in admission fees and accommodation establishment rate adjustments/availability.
Bookings are confirmed on the condition that a non-refundable deposit of a minimum of 25% of the total booking package cost is paid to BushBeds within 72 hours of confirmation of your bookings. You will be advised at the time of booking what payment is required for your particular arrangements. The balance of the cost for your travel arrangements must be paid no less than six weeks prior to departure. If your booking is made within 6 weeks of departure to total cost of your travel arrangements must be paid at the time of booking.
Please note: Failure to pay on time will result in the automatic cancellation of your booking.
Travel documents (vouchers, itineraries, etc.) are only prepared on receipt of full payment for all booked travel arrangements and signed and completed Booking Form.
It is important that you check all details of your travel documents immediately when you receive them and before starting on your tour. If there are any inaccuracies on any of your travel documents, or should you have any further queries, you should contact BushBeds immediately. BushBeds will not be liable for any delay and/or loss occasioned as a result of any inaccuracies on any travel documents once you are in receipt thereof and you have already started your tour.
Changes and Cancellations
If you wish to make a change to your booking we will endeavor to assist you to make the change wherever this is possible. You will have to pay all charges, whatever kind, imposed by the suppliers providing the travel service in question when amending a booking any time prior to departure. BushBeds will also charge an administration fee of NAD 250,- per person for each amendment made.
If you wish to cancel you travel arrangements you can do so at any time, but you must inform BushBeds immediately and in writing. You will be liable to pay the following cancellation charges:
When the booking is cancelled
up to 31 days prior to begin of the tour: 25%
between 30 and 22 days prior to begin of the tour: 50 %
between 21 and 15 days prior to begin of the tour: 75 %
14 days or less prior to begin of the tour: 100 %
The cancellation fee is calculated from the total booking value which is being cancelled. The cancellation time limits apply to the planned date of the first travel service being cancelled.
In the event that you have any reason to complain, or experience any problems with your booking whilst away, you must immediately inform the supplier of the services in question.
If you are still dissatisfied, you must nofify BushBeds immediately to enable us to resolve the problem. Failure to give us the opportunity to resolve any problem at the time it occurs may result in either a reduction, or complete extinction, of any rights which you may have to claim compensation.
If you remain dissatisfied, contact the Management of BushBeds within 28 days of the unsatisfactory service, giving your booking reference, name and full details of your complaint on email clientservices @ bushbeds.com
Whilst every effort will be made to resolve your complaint to your satisfaction, it is specifically recorded that BushBeds in no way accepts liability for any claim.
Passports, Visas and Health
It is entirely the client’s duty to ensure that all passports & visas are current, valid, obtained on time and that any vaccinations, inoculations, prophylactics (eg. for malaria) and the like, where required, have been obtained. Passports must be valid for 6 months after return to the client’s home country. Please check the requirements before travelling. BushBeds will endeavor to assist the client but such assistance will be at BushBeds discretion and the client acknowledges that in doing so, BushBeds is not assuming any obligation or liability and the client indemnifies BushBeds against any consequences of non-compliance. It is the client’s duty to familiarize him/herself with the inherent dangers of and mental and/or physical condition required for the proposed travel arrangements. The client must ensure that the details supplied to BushBeds during the booking process mirror those shown on their passport for international travel and ID documents for local travel.
Adequate travel insurance is strongly suggested for all clients to cover at least but not limited to medical and repatriation expenses, loss of luggage, cancellation or curtailment of a product or service and should not exclude any planned adventure activities. The insurance cover must be valid for the full duration of the tour booked by BushBeds as a minimum. Proof of insurance cover should be provided to BushBeds before the final confirmation of booked services is sent out.
BushBeds will not be responsible or liable if the client fails to take adequate insurance cover or at all. A client and their personal belongings are the sole responsibility of themselves. Clients are fully responsible for arranging their own travel insurance. BushBeds staff members can assist in providing suitable insurance cover, if the insurance cover has not been arranged directly by the client. Should the insurers dispute their liability for any reason, the client will have recourse against the insurers only.
Comments and ratings
You can rate and send comments about your experience with any accommodation establishment or car rental booked by your through the BushBeds booking system. For this purpose you will receive an automated email with a evaluation links after your tour has ended. You can provide your ratings and comments via these links to the respective travel services that were booked by you. By agreeing, you declare that all information provided may be published anonymously –or personalized, if desired – by BushBeds. On its part, the accommodation establishment or car rental company may publish a comment as reaction to your rating and comments. The wording of comments will undergo an editorial check by BushBeds and may be shortened. No spell-check will be made, nor will material changes be made to the statement. Therefore please try to keep your ratings and comments as objective as possible. Subjective, offensive or infringing comments are not permitted. BushBeds reserves the right not to publish ratings and comments and to delete ratings and comments without providing a reason.
BushBeds acts as the Tour Operator only on behalf of the suppliers and accordingly accepts no liability whatsoever for loss, damage, injury, accident, delay or any other irregularity arising whatsoever. BushBeds products contain an element of risk to the personal safety of the client that other package holidays may not contain. By accepting these booking conditions clients are aware of the risks inherent in their chosen travel and clients undertake such risks at their own volition. BushBeds accepts no liability of client’s damages where BushBeds has fulfilled its duty of care to clients by providing products of a reasonable standard. BushBeds has no direct control over the provision of services/ facilities by the relevant suppliers and hence we do not accept liability for errors or omissions by the suppliers. BushBeds accepts no liability if there has been no fault on the part of BushBeds or its’ suppliers and the reason for the claimed damages was either the client’s fault or a result of unusual circumstances beyond the control of BushBeds.
Except where otherwise expressly stated in these booking conditions, BushBeds cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected, or you otherwise suffer any damage or loss, as a result of “force majeure”. In these booking conditions, “force majeure” means any event which we or the supplier of service(s) in question could not, even with all due care, foresee or avoid. Such events may include war or threat of war, riot, civil strife, terrorist activity or actual threatened terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions fire and all similar events outside our control.
